What are workflows in My AI Front Desk?

Workflows allow your receptionist to perform complex tasks based on scenarios you define. You can define scenarios in plain English. The AI is intelligent enough to know when they are triggered. You can define as many workflows as you want.

There are three types of workflows you can set up in My AI Front Desk.

 

1. Texting Workflows

You can program your AI to send custom text messages during a conversation based on what the caller says. For example, if the caller asks for the menu or prices, the receptionist can text them a copy of the menu.

To set up this feature, visit your dashboard. Then, click "Edit Receptionist" in the left panel

Here is an example of how you can setup the receptionist to text appointment scheduling links when the user asks for an appointment:

2. Call Transferring Workflows

You can program your receptionist to transfer calls intelligently based on what the caller says. For example, you can program your receptionist to transfer the call to the billing department anytime the caller asks for a refund or receipt.

3. Intake Form Workflows

Your AI receptionist can ask your callers predefined questions during a call. You can use this feature to qualify leads, collect information, or set up a "phone form".

For instance, if someone mentions they are from Florida, the AI can instantly trigger the "Florida Questionaire" intake form. Just define a scenario and add some questions. It's that easy! Use this feature to ask targeted questions during specific scenarios.

1. Change the intake form mode to "Define a Custom Scenario"

2. Define a scenario. In this example, I have set it to "Execute this if they are from Florida".

3. Add some questions. In this example, I have added "Have you ever seen an alligator?"

Now, anytime someone mentions they are from Florida, the AI Receptionist will ask the caller if they have ever seen an alligator.
