My AI Front Desk offers a powerful Calendar Workflow feature that allows you to connect your Google Calendar to your AI receptionist. This integration enables your customers to schedule meetings directly through the AI, with events automatically added to your calendar. Follow this step-by-step guide to set up and customize your Calendar Workflow.

Prerequisites

  • An active My AI Front Desk account
  • A Google Calendar account

Step 1: Access the Calendar Workflow Settings

  1. Log in to your My AI Front Desk dashboard.
  2. Navigate to the Calendar Workflow section in your settings.

Step 2: Connect Your Google Calendar

  1. In the Calendar Workflow section, you'll see an option to connect your Google Calendar.
  2. Click on the "Connect Google Calendar" button.
  3. Follow the prompts to authenticate and allow My AI Front Desk to access your Google Calendar.

Step 3: Configure Calendar Settings

Once connected, you can customize your calendar settings:

  1. Duration of the meeting: Set the default length for appointments (in minutes). This can be between 10 and 300 minutes.
  2. Number of concurrent events allowed: Specify how many overlapping appointments can be scheduled. You can set this up to 50 concurrent events.
  3. Gap between appointments: Define the buffer time between meetings (in minutes). This can be set between 10 and 300 minutes.

Step 4: Set Up Information Collection

Customize the information your AI receptionist will collect from callers when scheduling appointments:

  1. Click on "Add Other Details" to create new information fields.
  2. For each field, you'll need to provide:
    • Field Name: A short, descriptive name for the information (avoid spaces).
    • Description: Instructions for the AI on what information to collect.
    • Spell Out: Check this box if you want the AI to repeat the information back to the caller for confirmation.

Example fields you might add:

  • Field: name, Description: Full name of the person booking the appointment
  • Field: phone, Description: Contact phone number for the appointment
  • Field: reason, Description: Brief reason for the appointment

Step 5: Save Your Settings

After configuring your calendar settings and information collection fields, don't forget to save your changes.

Step 6: Test Your Setup

  1. Use the testing feature in My AI Front Desk to simulate a call.
  2. Go through the appointment booking process to ensure everything works as expected.
  3. Check your Google Calendar to confirm that test appointments are being added correctly.

Additional Tips

  • Regularly review and update your calendar settings to ensure they meet your current needs.
  • You can modify or remove information collection fields at any time.
  • If you need to disconnect your Google Calendar, you can do so from the Calendar Workflow settings.
